This Privacy Policy explains what personal information QUBIVO collects, why we collect it, how we use and protect it, and the choices and rights you have. QUBIVO is operated by AAKZEN Technologies (“we”, “us”), which is responsible for personal data processed through this website.
1. Scope
This policy applies to the QUBIVO website, accounts, orders, downloads, newsletters and messages you send us. It is written for customers in India and elsewhere and is intended to meet our obligations under applicable law, including the Information Technology Act, 2000 and its rules and the Digital Personal Data Protection Act, 2023 as its provisions come into force.
2. Information we collect
Information you give us
- Account information: name, email address and password (stored only in encrypted, hashed form) when you create an account.
- Order information: the products you buy and the billing details requested at checkout, such as name, email address, phone number and address. For digital products we ask only for what is needed to process payment, issue invoices and meet legal requirements.
- Messages: your name, email address, the topic, any order number and your message when you contact us.
- Reviews: the name you choose to show and the content of reviews you post.
- Newsletter: your email address if you choose to subscribe.
Information collected automatically
- Technical data: IP address, browser type, device information and pages visited, which our web server and security tools record in logs.
- Cookies: small files that keep you signed in, remember your cart and keep the site secure (see section 5).
- Download records: when and how many times a file is downloaded from your account, so that download limits and support work correctly.
Information from payment providers
When you pay, the payment provider confirms whether the payment succeeded and gives us a transaction reference. We do not receive your full card number, CVV, UPI PIN or banking password.
3. How we use your information
- to create and manage your account;
- to process orders and payments, deliver downloads and send order emails;
- to provide support and reply to your messages;
- to handle refunds, disputes and fraud prevention;
- to keep the website secure and working properly;
- to send newsletters you have subscribed to (you can unsubscribe at any time);
- to improve our products and website using aggregated information; and
- to meet legal, tax and accounting obligations.
We process your information because it is needed to provide the service you asked for, because you consented (for example to the newsletter), or because the law requires or permits it.
4. Payment gateway data handling
Payments are handled by the third-party payment provider shown at checkout. The provider processes your payment details under its own privacy policy and security standards. We receive limited information such as the payment status, amount, method type and transaction reference, which we keep with your order for accounting, refunds and dispute handling.
5. Cookies
We use cookies that are necessary for the website to work, such as:
- Sign-in cookies that keep you logged in to your account;
- Cart and session cookies set by WooCommerce to remember your cart and checkout progress;
- Security cookies that help protect forms and accounts.
If we enable analytics or other non-essential cookies, we will list them here and, where required, ask for your consent. You can control or delete cookies in your browser settings, but blocking necessary cookies may stop sign-in, the cart or checkout from working.
6. Analytics
We may use privacy-conscious website statistics to understand which pages are visited, so that we can improve the store. Where such tools are enabled, they process technical data such as IP address and pages viewed. We will name any analytics provider we use in this section.
7. Sharing and third-party services
We do not sell your personal information. We share it only with service providers who help us run the store, and only as much as they need:
- Website hosting — our hosting provider stores the website and its database.
- Website software — WordPress and WooCommerce, and connected services such as Jetpack (provided by Automattic) where enabled for site security, performance or statistics.
- Payment provider — to process payments and refunds.
- Email delivery — to send order emails, replies and newsletters (for newsletters, through the newsletter service we use).
- Professional advisers and authorities — where required by law, to establish or defend legal claims, or to prevent fraud.
Some service providers may store or process data outside India. Where they do, we take reasonable steps to ensure your information remains protected and transfers comply with applicable law.
8. Data retention
- Account data is kept while your account is open. If you ask us to delete your account, we delete or anonymise it unless we must keep certain records.
- Order and payment records are kept for as long as required by tax and accounting laws.
- Messages are kept for as long as needed to respond and maintain a record of the conversation, then deleted.
- Newsletter data is kept until you unsubscribe.
- Server and security logs are kept for a limited period for security purposes.
9. How we protect your information
We use reasonable security measures appropriate to the information we hold, including encrypted (HTTPS) connections, hashed passwords, access controls and keeping software up to date. No system is completely secure; if a personal data breach occurs that affects you, we will notify you and the relevant authorities as required by law.
10. Your rights
Subject to applicable law, you can ask us to:
- give you a summary of the personal data we hold about you and how it is used;
- correct, complete or update inaccurate or incomplete data;
- erase data that is no longer needed, unless we must keep it by law;
- withdraw consent you have given (for example to newsletters) — this does not affect processing before withdrawal;
- nominate another person to exercise your rights in the event of death or incapacity; and
- address a grievance about how we handle your data.
You can update most account details yourself in My Account. For other requests, use our contact page and choose Privacy / personal data request. We may need to verify your identity before acting on a request. If you are not satisfied with our response, you may approach the Data Protection Board of India once it is available to you under the law.
11. Children
QUBIVO is intended for adults. We do not knowingly collect personal data from anyone under 18 without the consent of a parent or legal guardian. If you believe a child has given us personal data, contact us and we will delete it.
12. Changes to this policy
We may update this policy, for example when we add a new service such as a payment provider or analytics. The “Last updated” date shows the latest version. Where changes are significant, we will highlight them on the website or tell you by email.
13. Contact and grievance officer
